These terms govern every booking made with Random Hare Retreats Limited for a stay at Roeka or Kalou. Please read them alongside our Privacy Policy before you book.

About These Terms

1.1

These terms and conditions (“Terms”) govern every booking made with Random Hare Retreats Limited (company number 17244967) of St. Johns House, St. Johns Street, Chichester, England, PO19 1UU (“Random Hare”, “we”, “us”, “our”) for a stay at one of our cabins.

1.2

By making a booking, whether directly with us or through our online booking system, you (the lead guest who makes the booking, and each member of your party) agree to be bound by these Terms.

1.3

These Terms, together with our Privacy Policy and any specific information we provide for your cabin (arrival instructions, house guide, and similar), form the entire agreement between you and us for your stay.

1.4

We may update these Terms from time to time (see clause 18). The version of these Terms in force at the time you made your booking will govern that booking.

Definitions

“Cabin” means Roeka, Kalou, or any other cabin we make available to book.
“Land” means the land on which a Cabin is situated.
“Landowner” means the individual or entity from whom we lease the Land. The Landowner is not a party to your booking contract, but owns — and, in places, actively works — the Land surrounding a Cabin.
“Booking” means a confirmed reservation of a Cabin for specified dates.
“You / Guest” means the lead guest who makes the Booking, and each member of their party.
“Stay” means the period of your Booking, from check-in to check-out.

Our Services

3.1

We offer off-grid cabin stays at Roeka and Kalou, both located on leased rural land in West Sussex, near the Goodwood Estate and the South Downs Way.

3.2

Each Cabin sleeps a maximum of two guests. Both Cabins are dog-friendly (see clause 12).

3.3

Our Cabins are deliberately simple and off-grid: they run on their own power, water and waste systems rather than mains connections, and do not have wifi, television or a microwave. Full details of what's included are set out on our website and in your pre-arrival information.

3.4

We are an independent business. Random Hare Retreats Limited is not affiliated with, and does not act on behalf of, the Goodwood Estate or any other neighbouring landowner or event organiser.

Bookings and Contract

4.1

A booking is confirmed, and a contract between you and us comes into existence, once we have accepted your booking and received payment in accordance with clause 5.

4.2

The lead guest must be at least 18 years old and must be part of the party staying at the Cabin for the duration of the Stay.

4.3

You must ensure the details you give us at the time of booking (names, contact details, guest numbers, dog details) are accurate and complete. We rely on this information to prepare the Cabin and to communicate with you.

4.4

Cabins are booked for a maximum of two guests. We reserve the right to refuse entry, or to end a Stay without refund, if more than two guests attempt to occupy a Cabin, or if unregistered guests are brought onto the Land.

Prices and Payment

5.1

Prices are shown in GBP on our website at the time of booking and include VAT where applicable.

5.2

Full payment is required at the time of booking, via our online booking system (currently operated by Lodgify). Your Booking is not confirmed, and no contract comes into existence, until payment has been received in full. Card details are processed by our payment provider and are never seen or stored by us directly.

5.3

We reserve the right to correct any pricing errors on our website or booking system, and to decline or cancel a booking made at an incorrect price, offering a full refund.

Cancellations, Changes and Refunds

6.1

We understand plans change. Depending on how close to your Stay you cancel or change your Booking, the following applies:

  • 28 days or more before your check-in date: you may cancel for a full refund, move your Booking to another available date, or convert the amount paid into a credit voucher valid for 12 months.
  • Between 14 and 27 days before your check-in date: you may move your Booking to another available date (one change permitted) or convert the amount paid into a credit voucher valid for 12 months. Cash refunds are not available in this window.
  • Within 14 days of your check-in date: your Booking is non-refundable and non-changeable, and the full booking value remains payable. No refund, voucher or rebooking is available, except as set out in clause 6.2.
6.2

Cooling-off period for last-minute bookings: if you make a Booking within 14 days of your check-in date, you have 48 hours from the time of booking to cancel or reschedule free of charge, provided you do so before your check-in date.

6.3

Where you're entitled to reschedule under clause 6.1, the new Stay must take place within 12 months of the original check-in date. Once rescheduled, the new Booking becomes non-refundable and is subject to these Terms as if it were the original Booking.

6.4

We do not offer refunds, credit or compensation for late arrival, early departure, or unused nights once your Stay has begun.

6.5

If we need to cancel your Booking — for example, because a Cabin becomes uninhabitable, or we lose access to the Land — we will offer you an alternative date or cabin where possible, or a full refund. Our liability in these circumstances is limited to refunding amounts you've paid us; we are not liable for any other costs you incur (such as travel), which is why we recommend travel insurance (see clause 6.6 and clause 14.5).

6.6

We strongly recommend you take out travel insurance that covers cancellation, particularly if you're booking well in advance or your plans are uncertain.

Check-In and Check-Out

7.1

Check-in is from 3pm on your arrival date. Check-out is by 11am on your departure date.

7.2

There is no reception or on-site staff; access details are sent to you in advance and you arrive and depart independently.

7.3

If you anticipate arriving late, please let us know in advance where possible.

7.4

Please leave the Cabin in a reasonably clean and tidy condition, with the fire pit and wood burner fully extinguished, all gates on the Land closed, and any rubbish taken with you or disposed of as instructed in your arrival information. See clause 8 for cleaning fees that may apply if the Cabin is not left in this condition.

Cleaning Fees and Lost Property

8.1

Please leave the Cabin as you found it. If it is left in a condition that requires more than reasonable cleaning — for example significant mess, spillages, or excessive rubbish — we may charge a cleaning fee of £25 per hour, payable within 30 days of the end of your Stay.

8.2

If you leave personal belongings behind, we're happy to arrange for them to be returned to you. We charge a flat fee of £18 to cover postage and handling for items up to 10kg, with a higher fee for anything heavier, which we'll confirm with you before sending anything back.

8.3

Random Hare and anyone we engage to prepare or clean a Cabin cannot be held responsible for any damage to, or loss of, personal items left in the Cabin or in transit while being returned to you.

8.4

These fees are separate from, and in addition to, any liability you have under clause 14.6 for damage to the Cabin or its contents beyond fair wear and tear.

The Land and Rural Setting

9.1

Our Cabins are located on Land that we lease from private Landowners. In places, this Land is worked agricultural or estate land and may be remote, unlit at night, and without reliable mobile phone signal.

9.2

You acknowledge that the Land may include uneven terrain, natural hazards, watercourses, and livestock or wildlife that move freely across it, including near gates, tracks and parking areas.

9.3

By booking a Stay, you accept the inherent risks of visiting a rural, off-grid environment, including limited immediate access to emergency assistance, and you agree to take reasonable care for your own safety and that of your party while on the Land.

9.4

Any gate you open on the Land must be closed again immediately afterwards. You are responsible for ensuring gates are not left open, and you will be liable for any loss or damage (including to livestock) that results from a gate being left open by you or a member of your party.

9.5

You must respect any wildlife and livestock on the Land and must not approach, feed or otherwise interfere with animals, whether wild or belonging to the Landowner.

9.6

Where a fire ban or other land-management notice is in place — for example during dry weather on the South Downs — we will let you know and you must comply with it in full. Breach of a fire ban may result in your Stay being ended immediately without refund, and you will be liable for any resulting loss or damage.

9.7

Vehicles and personal belongings are brought onto the Land at your own risk.

10

Off-Grid Living

10.1

Our Cabins run on their own power, water and waste systems and are not connected to mains services. You should expect normal-feeling electricity, hot water and heating, delivered off-grid.

10.2

There is no wifi, television, microwave, or reliable mobile signal at our Cabins, by design. Please plan accordingly if you need connectivity for any reason (for example, medical or work needs) and let us know in advance.

10.3

We do not provide daily housekeeping during your Stay. Cabins are fully prepared before you arrive, and you're responsible for general tidiness during your visit (see clause 7.4).

Fire Safety, Wood Burner & Fire Pit

11.1

Each Cabin has a wood-burning stove and an outdoor fire pit. Logs, kindling and matches are provided.

11.2

Open flames must be contained to the wood burner or the fire pit provided. Naked flames, disposable barbecues, fireworks, sky lanterns and similar items are not permitted anywhere on the Land.

11.3

You must fully extinguish the fire pit before going to sleep or leaving the Cabin unattended, and take particular care during dry weather, when fire risk on the Downs is higher.

11.4

Smoking (including vaping) is not permitted inside any Cabin.

11.5

You are responsible for any loss, damage or cost — including any fire service call-out charges — resulting from a failure to follow this clause.

12

Dogs and Other Pets

12.1

Both Cabins are dog-friendly, and dogs may stay at no extra charge, subject to the following:

  • please tell us at the time of booking how many dogs you're bringing;
  • dogs are welcome on the ground floor of the Cabin only;
  • you must bring your own dog bedding;
  • dogs must be kept under control at all times, particularly around livestock and wildlife on the Land (see clause 9.5), and must not be left alone in the Cabin or on the Land at any time;
  • you are responsible for cleaning up after your dog, and for any damage your dog causes to the Cabin or Land.
12.2

We're happy to discuss other pets on a case-by-case basis — please contact us before booking.

13

Guest Conduct and House Rules

13.1

Please be considerate of neighbouring properties, the Landowner, other guests, and the natural surroundings.

13.2

We may end your Stay immediately and without refund if you or a member of your party behaves in a way that is dangerous, threatening, abusive, or that causes damage or distress to people, property, livestock or wildlife.

13.3

Commercial photography or filming at a Cabin is not permitted without our prior written consent.

13.4

Please do not exceed the maximum guest number stated for your Cabin (two guests) without our prior agreement.

14

Liability, Insurance & Responsibility

14.1

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be excluded or limited under English law, including your rights under the Consumer Rights Act 2015.

14.2

Subject to clause 14.1, our liability to you for any loss you suffer in connection with your Booking is limited to the price you paid for that Booking. We are not liable for any indirect or consequential losses (such as loss of enjoyment, travel costs, or the cost of alternative accommodation) arising from your Stay.

14.3

We are not responsible for the acts or omissions of the Landowner, or of any third party not engaged directly by us.

14.4

You are responsible for your own safety, and that of your party, during your Stay, including when moving around the Land (see clause 9). We recommend you bring suitable footwear, clothing and a torch, and that everyone in your party is comfortable in a remote, off-grid setting.

14.5

We recommend you take out appropriate travel insurance for your Stay, covering cancellation, personal belongings, and personal accident or injury.

14.6

You are liable for any damage to, or loss of, the Cabin or its contents caused by you or a member of your party, beyond fair wear and tear, and we may recover reasonable costs from you where this occurs (see also clause 8).

15

Force Majeure

15.1

We are not liable for any failure or delay in providing your Stay where this is caused by circumstances beyond our reasonable control, including severe weather, fire, flood, pandemic, industrial action, road closures, or acts of the Landowner or third parties affecting access to the Land.

15.2

Where such an event prevents your Stay from going ahead, clause 6.5 applies.

Complaints

16.1

If anything about your Stay isn't right, please contact us as soon as possible, ideally during your Stay, so we have the chance to put things right.

16.2

You can reach us at environments@randomhare.co.uk. We aim to respond as soon as reasonably possible.

17

Data Protection and Privacy

17.1

We process your personal data in accordance with our Privacy Policy, which explains what we collect, why, and your rights under UK GDPR.

18

Changes to These Terms

18.1

We may update these Terms from time to time, for example to reflect changes to our services or the law. The version in force at the date of your Booking will apply to that Booking.

19

Governing Law and Jurisdiction

19.1

These Terms, and any dispute arising from them or your Booking, are governed by the law of England and Wales, and the courts of England and Wales will have exclusive jurisdiction.
